*Meeting Summary Midwinter Conference 2010 in Boston - January 16, 2010*

The group convened with 15 attendees. Co-chair, Greg Pronevitz, thanked =

outgoing co-chair Valerie Horton, for her role in helping found this =

discussion group and for her work to support those interested in library =

delivery services. Members introduced themselves and provide a brief =

overview of their involvement in library delivery service.

_Moving Mountains Conference_ -- a recent email poll to ascertain =

interest leads planners to believe that attendance will be very light. =

Consideration is being given to moving the conference from 2010 to 2011 =

or holding it in conjunction with an ALA conference. ASCLA preconference =

take some time to plan. Valerie Horton will ask ASCLA to put a =

placeholder in for 2011 for a conference program (New Orleans).

_Moving Mountains Site and Listserv _-- Attendees were encouraged to =

visit the Moving Mountains site and join the listserv to communicate =

_Moving Materials: Physical Delivery in Libraries_ was recently =

published by ALA editions and edited by Valerie Horton and Bruce Smith. =

It just got a good review in Information Today.

_NISO Physical Delivery Working Group_ has been formed to Develop =

Recommended Practices for the Physical Delivery of Library Materials. =

Interested parties are encouraged to visit the web site: =

_Colorado-Missouri Interstate Delivery Service _- has been initiated =

using a cost effective transportation solution---Greyhound Bus, Valerie =

Horton reported. The service is based on OCLC reciprocal borrowing =

agreements. Lending among these libraries now exceeds that between =

Colorado and its natural partners, Texas and Kansas. Challenges in this =

project were managing packaging labeling/packaging/policy differences =

and verifying regional ILL statistics via OCLC. One next step is to =

explore similar services with Texas and Kansas. The Michigan Library =

Consortium mentioned that they had studied the packaging policy =

differences and now allows delivery participants to skip packaging if =

they wish and if the lender requires packaging, to respect that wish.

_Massachusetts Project to Automate Sorting _- Greg Pronevitz reviewed =

the delivery environment in Massachusetts and described their plans to =

issue an RFP to automate the sorting of items in delivery.

Six Massachusetts Regional Library Systems were organized in 1997. =

Delivery went fine for years. In 1999 statewide delivery volume was =

between two million. Patron placed holds brought volume increase. Volume =

increased dramatically (500% in past ten years) -- now approaching 13 =

million. Couriers were having trouble keeping up. After reading about a =

large automated materials handling system at the King County Library =

System in the state of Washington. We visited King County and another =

large automated sorting center at Seattle Public Library

A comprehensive study of delivery services conducted by outside =

consultants completed in 2009. See Massachusetts Statewide Delivery =

Massachusetts Statewide Delivery Committee formed with three working groups

Labeling and Packaging; Ergonomics and Efficiency; and Automated Sorting =

(Centralized). Autosort RFP Task Force formed (now working) which =

comprises representatives from stakeholders. Automated sorting was =

recommended to reduce labor in libraries by eliminating labeling and =

pre-sorting. An ultimate benefit may be container level check-in and =

improved tracking. Automated sorting is not expected to realize =

significant savings for the regional program. The scale and scope of the =

project are complex.  Each of the Autosort stakeholders will work in the =

upcoming months to gather needed information, including the factors that =

would require attention, both from the Network and Regional =

perspectives, as the project moves forward. If you're interested in =
